Looking for a rental space for your next event? We offer a variety of facility rental options - perfect for birthday parties, group trainings, baby showers, bridal showers, celebrations of life, weddings, Jack and Jills,  vendor shows and dances. Rentals span across our three recreational facilities with meeting rooms, pools, arena ice and floor space.  We also have numerous parks available for rent for sports activities, tournaments, picnics and events.

Sports fields rentals

Numerous parks are available for rent for sporting special events, sport activities and tournaments. Things to know:

  • Park season is May until October and public facilities are only available during this time. 
  • It is important to book parks, ball diamonds and soccer pitches well in advance of the event.
  • Tournaments have their own pricing tier. Field lighting is also charged separately. Please ensure you review our rental prices carefully and consider all the extra add-ons you might require.

Vehicle storage rental space

We offer indoor storage at the Fall Fair Centre (unheated building) at 62 McCaul Street. Things to know:

  • Storage is available from the months of November to April
  • Storage of cars, trucks, boats, and trailers.
  • Storage rate is provided per foot per season. See our fees and charges page for rental prices.

Special events

If you are planning a special event we can help! Special events may require road closures, outdoor liquor licenses, bus re-routing and more. Let us help you host a successful event.

A small or large scale special event, parade, or procession taking place on Municipal property will go through the Special Events Coordinator to get the appropriate permits.

Booking a park or facility process 
Follow these steps for a successful booking process. 
Check rental availability

Once you have reviewed all of our rental types and have decided on a space - you will need to check if it is available to be booked on your day and time of choice. You can do this through one of three ways: 

  1. requesting online through activenet reservations. Please note this is not available for pool reservations, please email or call us. 
  2. or by completing the Rental Enquiry Form 
  3. or by calling us at 905-885-2474 ext. 3221
Reserve your space
Once you have confirmed there is availability, you will need to reserve your space. You can do this through one of three ways: 
  1. requesting online through activenet reservations. Please note this is not available for pool reservations, please email or call us. 
  2. or by completing the Rental Enquiry Form 
  3. or by calling us at 905-885-2474 ext. 3221

The reservation will then be reviewed and you will then be emailed a tentative reservation permit. Renters are responsible to review the requirements, plus ensure the dates and times are accurate.

This step does not confirm your reservation. You must wait until a confirmed reservation permit has been issued and all permits have been paid in full.

Provide additional details if required

If you are hosting a licensed event, you need to provide the following details a minimum of 14 days in advance: 

  • Liquor license
  • Full Payment (additional fees apply for licensed events)
  • Copy of insurance for $5 million naming the Municipality of Port Hope as an additional insured (try DUUO or any insurance provider of your choice)
  • List of Smart Serve certified bartenders
  • A site visit and signed permit - Municipal staff will arrange for a site visit once a tentative booking is in place. The signed permit will be provided after the site visit. 
Approval and provide payment 
Once all necessary details are confirmed, a confirmed reservation permit will be issued by email. A non-refundable 25% deposit is due upon booking with the remainder due by 14 days prior to an event.

  • Over the phone with credit card or visa/debit by calling 905-885-2474 with any customer service staff

Guidelines for bookings

Facility rental guidelines

  • Set-up and clean-up time must be booked and is the responsibility of the renter
    • Renters typically book a half hour prior and half hour after their event time
    • Additional Set-up or Take Down costs and/or extra clean up will be charged per hour at the discretion of the Department of Parks, Recreation and Culture. For prices see our fees and charges general notes.
  • Please use painters tape only
  • Storage is not available unless space is booked/rented
  • Dishes, decorations, table cloths and extension cords are not provided
  • Renters please be mindful of your time.
    • Only be in the space for the time booked
    • There are usually additional rentals booked both before and after your time.
  • If your rental is outside of normal business hours, the building will be unlocked at the time of your rental.
    • Staff arrive 15 minutes before a rental to complete opening procedures and are not able to open the building to the public until these procedures are completed.
    • You are expected to finish your clean-up at the stated time on your rental contract or additional fees will apply.
    • It is very important to look over your contract carefully to ensure you have access to the building when you need it.

Park rental guidelines

  1. No individual shall engage in inappropriate conduct on, at, or in recreation facilities, parks, or program services; or disruptive, offensive, harassing, threatening or injurious behaviour to Municipal Employees, its partners and other users as per the Parks, Recreation and Culture, Behaviour Management Policy # 163-2012.
  2. The permit holder is required to abide by and to adhere to all Municipality of Port Hope By-laws and all Federal and Provincial Legislation and Regulations and Guidelines. The onus is on the Permit Holder to ensure that he or she is aware of such by-laws, legislation or regulations.
  3. Alcohol is strictly prohibited at any outdoor facility that has been issued a permit by the Municipality unless authorized by the Municipality and authorized by the Alcohol and Gaming Commission.
  4. A written request shall be made to the Department of Parks, Recreation and Culture for the use of sport fields a minimum of 7 days before the date on which the sports field is requested. Any lining and lighting requirements must also be booked at least 7 days prior to the event and charges will be applied in accordance with the Fee By-law.
  5. Vehicles must park in designated parking areas only.
  6. Groups must pick-up all litter resulting from their program/event.
  7. Full fees will be levied unless the Department of Parks, Recreation and Culture receives notice of cancellation 7 days before the day of the event.
  8. Should a booking or event be rained out, the Parks, Recreation and Culture Department must be notified by email by the next working day or the charges will be levied.
  9. The applicant is liable for all damages to the premises arising during the rental period. All damage fees including extra labour of Department Staff, not normally associated with such permits, will be charged to the applicant.
  10. Renter must abide by Health Unit requirements.
  11. Bases are not provided by the Municipality.

General guidelines applicable to any rental

  • Renters are responsible for your group and/or parties actions and conduct during the reservation. Your current and future reservation request may be cancelled if the following should occur: fighting, unseemly conduct, health violations, abuse of staff or property, or failure to remit payment. This includes adequate supervision and general order while using the facility
  • A non-refundable deposit is required at the time of booking (25% of the booking total).
  • If your event includes food or alcohol, it must be approved by Council and meet the Municipal Alcohol Policy and the Health Unit requirements. To obtain a copy of the Municipal Alcohol Policy, please contact us. Licensed events will be charged extra on top of the room rental rate during the licensed times. Cancellations

Rental and booking cancellations require 7 days written notice to the Central Bookings Coordinator, cancellations within 7 days of rental or event date will not be eligible for a refund. Cancellations are subject to a fee. Booking deposit is non-refundable.
